Additional Information for Customers and Business Partners
As part of the business relationship with WePrevent, personal data from customers, prospective customers, suppliers, or other business partners and their employees is processed for the purposes of ordering and delivering products and services, sales activities, purchasing, accounting, and customer service—based on the legal basis of a valid agreement or pre-contractual measures, as well as for general marketing activities based on the legal basis of a legitimate interest in sending direct marketing and on the legitimate interest in efficient business processes.
We process names and contact information, any agreements, and communication and order history.
The provision of the aforementioned data is necessary for the business relationship, as contractual or legal obligations cannot otherwise be fulfilled.
The entity responsible for processing your personal data is your contractual partner, WePrevent – Gesundheitsvorsorge GmbH.
As a general rule, data will not be disclosed to third parties without consent, unless required by law or necessary to fulfill contractual obligations (e.g., disclosure to logistics partners and shipping companies to facilitate deliveries, or to payment service providers to process transfers). Also excluded is the disclosure of data to processors who work exclusively on WePrevent’s instructions, do not use the data for their own purposes, and are bound by their own agreements to comply with the data protection obligations of the General Data Protection Regulation.
In some cases, this also involves transferring data to countries outside the European Union. To safeguard the rights and freedoms of the data subjects, agreements have been entered into in accordance with the Standard Contractual Clauses approved by the European Commission (Art. 46 of the GDPR), and the contractual partner has undertaken additional contractual obligations to ensure a level of data protection comparable to that of the EU.
Once the statutory retention periods have expired, the data will be stored for a maximum of five years from the date of the last contact.
Privacy Notice for Participating in Online Meetings or Video Conferences Using Microsoft Teams
When conducting online meetings or video conferences, personal data in the form of contact information, video, and audio data is processed. This processing is necessary for the fulfillment of contractual obligations or precontractual measures (e.g., employment contracts for employees, preliminary discussions for projects), provided that no other, less intrusive means can be used with comparable efficiency, and takes place only for the duration of the respective meeting.
Data regarding participation in the online meeting, as well as any text entered by participants in the meeting's chat window, will be deleted once the statutory retention periods (generally seven years) have expired.
In some cases, an online meeting is recorded for the purposes of documentation, quality control, or to create minutes or a transcript. A recording is made only with the consent of all participants. Consent is requested immediately before participating in a meeting. Recordings are stored only until the respective processing purpose—such as the creation and confirmation of minutes, documentation of discussions, or employee training—has been fulfilled, but in no case for longer than 7 years. Consent is given voluntarily and may be revoked at any time with future effect. To do so, simply send a written notice to our Data Protection Officer at privacy@weprevent.healthcare.
As a general rule, data processed during online meetings is not disclosed without consent. Exceptions to this include the transfer of data to processors who operate exclusively on WePrevent’s instructions, do not use the data for their own purposes, and are bound by their own agreements to comply with the data protection obligations of the General Data Protection Regulation (GDPR); as well as the transfer of diagnostic and telemetry data—which is necessary for the operation and security of the online meeting infrastructure and may, in principle, also contain personal data—to Microsoft Ireland Operations Ltd., One Microsoft Place, Dublin, D18 P521, Ireland.
In rare cases, this may also involve the transfer of data to countries outside the European Union. To safeguard the rights and freedoms of the data subjects, an agreement was therefore concluded with Microsoft in accordance with the Standard Contractual Clauses approved by the European Commission (Art. 46 GDPR), and Microsoft has provided assurances of additional contractual obligations to ensure a level of data protection comparable to that of the EU.
You have the right to access, correct, and delete your data, the right to restrict processing, and the right to object to processing. You also have the right to file a complaint with a supervisory authority.
Additional Information for Applicants
As part of your application, we process personal data for the purpose of candidate selection. This includes general contact information (name, address, phone number, etc.), any certificates or proof of qualifications, as well as notes from a job interview. This is done on the legal basis of pre-contractual measures and is necessary for the purpose of processing. Any review of a criminal record extract will be noted, but the information from the criminal record extract will not be stored. For applications submitted via our website, we also process technical telemetry data, such as your IP address, which is necessary for technical communication with your device.
WePrevent – Gesundheitsvorsorge GmbH is responsible for processing your personal data in connection with your job application.
As a general rule, data will not be disclosed to third parties unless required by law or necessary for the purpose of processing. Data may also be disclosed to processors who operate exclusively under WePrevent’s instructions, do not use the data for their own purposes, and are bound by their own agreements to comply with the data protection obligations of the General Data Protection Regulation.
Once the applicant selection process is complete, we will retain your data for an additional six months based on the legal basis of our legitimate interest in asserting or defending legal claims. We will only retain your application for a longer period—up to three years—with your express consent. In this case, we ask for your written consent to this retention, which you may revoke at any time in writing, including by email.
You have the right to access, correct, and delete your data; the right to restrict processing; the right to object to processing; and the right to data portability to another data controller. You also have the right to file a complaint with a supervisory authority.
To exercise your rights or for any other questions regarding data protection, please contact our Data Protection Officer at: privacy@weprevent.healthcare
